HCP Opt-In Policy

1. Introduction

This policy explains how ClinicaliQ (operated by MedicalGoGo Ltd) manages the opt-in process by which registered Healthcare Professionals (HCPs) consent to receive pharmaceutical industry-sponsored content, promotional communications, and educational materials delivered through the ClinicaliQ platform.

All pharmaceutical-sponsored communications issued through ClinicaliQ comply with the ABPI Code of Practice. HCP opt-in is always explicit, granular, and freely given.

2. What HCPs Are Opting In To

When an HCP provides pharmaceutical opt-in consent through ClinicaliQ, they agree to receive:

• Sponsored educational content, including guideline summaries and clinical update articles, funded by named pharmaceutical companies
• Invitations to pharma-sponsored CPD-accredited webinars and virtual events
• Sponsored sections within ClinicaliQ specialty newsletters, clearly labelled with the sponsor name
• Digital educational materials and resources provided by pharmaceutical partners

HCPs do not opt in to receive unsolicited direct contact from pharmaceutical company sales representatives. ClinicaliQ does not share HCP contact details with pharmaceutical partners under any circumstances.

3. How Opt-In Consent Is Collected

Opt-in consent is collected during HCP registration at clinicaliq.co.uk/register/ via a clearly worded, unticked checkbox. The consent statement reads:

I agree to receive pharmaceutical industry-sponsored educational content, webinar invitations, and sponsored sections within ClinicaliQ newsletters. I understand that any sponsored content will be clearly labelled with the sponsor name, that I will not receive direct contact from pharmaceutical company representatives, and that I can withdraw this consent at any time.

Consent is not bundled with platform access — HCPs may register and use ClinicaliQ without providing pharmaceutical opt-in consent. The opt-in checkbox is never pre-ticked.

4. Opt-In Verification and Audit Trail

Each consent event is recorded with the following audit data:

• HCP user ID and professional registration number
• Timestamp of consent (UTC)
• IP address at time of consent
• Exact wording of the consent statement presented (version-controlled)
• Method of collection (registration form, preference update)

Consent records are retained for 6 years from the date of consent or withdrawal, consistent with ABPI Code requirements for documentation of HCP interactions.

5. Granular Consent Options

HCPs may manage their consent preferences at a granular level via Account Settings > Communication Preferences. Available controls include:

• All pharmaceutical-sponsored content: on/off
• Sponsored newsletter sections only: on/off
• Pharma-sponsored webinar invitations: on/off
• Therapeutic area preferences: select which disease areas to receive sponsored content for

Changes to preferences take effect within 48 hours.

6. Withdrawing Consent

HCPs may withdraw pharmaceutical opt-in consent at any time without any effect on their platform access, CPD records, or clinical content access. Withdrawal methods:

• Account Settings > Communication Preferences > toggle off pharmaceutical content
• Unsubscribe link in any sponsored newsletter (removes pharma opt-in only)
• Email request to: [email protected]

Withdrawal requests are processed within 48 hours. Following withdrawal, no further pharma-sponsored communications will be issued. Withdrawal does not affect the HCP's right to receive non-sponsored clinical content.

7. ABPI Code Compliance

ClinicaliQ operates all pharmaceutical partnerships in accordance with the ABPI Code of Practice (current edition). Key compliance measures include:

• All sponsored content carries a clear sponsorship declaration identifying the pharmaceutical company by name
• Editorial independence is maintained — ClinicaliQ retains full editorial control over all content; pharmaceutical partners may not require editorial changes as a condition of sponsorship
• No pharmaceutical company receives HCP personal data, identifiers, or contact details
• CPD-accredited webinars meet ABPI-compliant educational content standards
• Sponsorship arrangements are documented and available for ABPI audit on request

ClinicaliQ's editorial independence policy is published separately and governs all sponsored content relationships.

8. Use of Opt-In Data by Pharmaceutical Partners

Pharmaceutical partners receive no individual HCP opt-in data. Partners receive only:

• Confirmed reach counts (e.g. your sponsored content was delivered to 1,240 opted-in HCPs)
• Specialty and regional breakdowns in aggregate (minimum cohort of 5)
• Engagement metrics (open rates, click rates) in aggregate only

Individual HCP identity is never disclosed to pharmaceutical partners in connection with opt-in consent data.

9. Children and Under-18s

ClinicaliQ is a professional platform for verified UK healthcare professionals. Registration requires a valid professional registration number (GMC/NMC/GPhC/HCPC). The platform is not directed at individuals under 18 years of age.
